Guide: traceability

Traceability and lot management in your ERP

When a customer or auditor asks which material went into which product, you need to be able to show it quickly and reliably. That requires lot registration in every stock and production movement.

Reliable traceability requires a lot ledger in which every movement is recorded and cannot be changed afterwards. In Digital WorkMate you book stock, pick and production movements per lot in an immutable lot ledger, trace from supplier batch to customer and back, and record the lot genealogy when repacking. Serial numbers are recorded but not yet linked to the stock ledger the way lots are.

What to look for when choosing

  • Is every stock movement recorded per lot and impossible to change afterwards?
  • Can you trace forward (supplier batch to customer) and backward (customer to batch)?
  • Is the lot genealogy recorded when repacking and producing?
  • Can you issue by FIFO or FEFO, per product group?
  • Do the shop floor and warehouse book per lot, for example with barcode scanning?
  • Can you block a lot when a quality check fails?
  • Is it clear how serial numbers are supported?

Immutable lot ledger

Every movement per lot is in the ledger. Production postings, picks and repacking refer to the same lots, so the origin of a finished product can be reconstructed.

Warehouse and pick orders with scanning

Pick orders for sales, production, replenishment, transfers and cycle counts, with GS1 barcode scanning on mobile. Every movement is booked into the lot ledger automatically.

Quality during production

Operators record measurement steps and checklists; a rejected step can block a lot or start a non-conformance report (NCR). SPC charts and incoming inspection at goods receipt are not included.

What Digital WorkMate offers for this today

For each part you can see whether it is fully or partially available.

  • Lots and traceabilityAvailable

Immutable lot ledger, tracing from supplier batch to customer and back, repacking with lot genealogy and production postings per lot.

  • Stock and warehouse locationsAvailable

Stock per location, reservations per order or estimate, FIFO/FEFO per product group, min/max rules and picking with GS1 barcode scanning.

  • Pick orders and packing slipsAvailable

Pick orders for sales, production, replenishment, transfers and cycle counts. Create them directly from a sales order (including partial deliveries) or a production order, pick on a mobile device with barcode scanning and book every movement into the lot ledger automatically. A pick list per type, plus a packing slip of the picked lines.

  • Serial numbersPartial

Serial numbers are recorded but not yet linked to the stock ledger the way lots are.

  • Quality (NCR, audits, confirmations)Partial

In-process quality control with measurement steps, tolerances, photos and checklists recorded by the operator, with a configurable frequency (for example every first piece or every N pieces). A rejected step can block the operation, block a lot or start a non-conformance report (NCR). Non-conformance reports and audit schedules as task board templates; no SPC charts and no incoming inspection at goods receipt.

  • Digital work instructionsAvailable

Step-by-step work instructions per operation, product or revision, with measurement steps and tolerances; operators record results on the shop floor, a failure can block the order or start a non-conformance report, and the order list shows the status.

Traceability and lot management: frequently asked questions

What is lot management?

Lot management is recording materials and products per batch (lot), so you know where a batch came from, where it went and which products it was used in.

Can I trace back from customer to supplier batch?

Yes. Digital WorkMate traces from supplier batch to customer and back, with a lot genealogy when repacking and production postings per lot.

Are serial numbers supported?

Partly. Serial numbers are recorded but not yet linked to the stock ledger the way lots are. If you need serial number traceability, discuss it up front in the ERP Fit Scan or a demo.

Can a lot be blocked on a quality deviation?

Yes. A rejected quality step during production can block the operation, block a lot or start a non-conformance report (NCR).
